While a relatively new entry into the project management space, Notion has evolved quite quickly to meet the needs of its users. It’s a platform that is notable for its versatility, and it is a well-known option for individuals and teams who want a reliable tool to organize and manage tasks–from note-taking to in-depth project management.
But does it incorporate the best project management techniques to help you or your team get organized?
Let’s find out.
Notion is a cloud-based workspace where individuals and small teams can take notes, create documents, track projects and organize and manage tasks all in one place. It’s often referred to as an “all-in-one” workspace because users can collate all of their projects onto a single platform.
Notion’s popularity among professionals and students is credited to its personalization that caters to any workflow. As a user, you’ll have the freedom to customize the layout of your workspace, while still getting helpful guidance and templates to help you get started.
Founded in 2016, Notion started as a note-taking app but has evolved into a comprehensive project management tool for solopreneurs and small teams. The platform’s mission is to make it possible for people to shape the productivity tool they use every day to match their needs.
Every feature on Notion is designed to help users be as organized as possible.
The platform is segmented into pages that can be nested or interlinked at your convenience. As soon as you sign up, you’ll be redirected to your Welcome screen containing some tips to get started. This includes linked videos that guide you in creating your first page and setting up your to-do lists and projects.
On the left side, you’ll find a list of default pages, such as ‘Quick Note’, ‘Personal Home’, and ‘Task List’ which you can customize and add. Whenever you create a new page it will show up on the left panel. You can add personalized header images, descriptive comments, and add associated icons to your pages.
Simply click anywhere on a page to add blocks for individual pieces of content such as text, lists, media, links, and sub-pages. You can also just type “/” to bring up a menu of blocks you can add to your new page.
Although Notion started as a note-taking app, it has become far more than that. The tool has promising features that go beyond creating to-do lists and make it a competent productivity and project management app.
A commendable feature of Notion is that user guides are already embedded in the platform. For example, if you want to create a new document, you’ll find guides on how to get the most out of the preinstalled page.
Of course, this can be a hit or miss. Some users may be grateful for the step-by-step guides, while others may be frustrated with manually deleting pre-installed guide pages to clean up their workspace.
Notion makes it easy for you to create pages and documents in whatever style you want. Pages are like folders where you can store all information related to a particular topic. You can include a range of blocks or items on your pages such as text, toggle lists, to-do lists, images, video links, tables, boards, and maps.
Every change you make to a page or block is automatically saved in Notion. So you can always go back and view the history of a page if there’s something that you want to restore. This is pretty useful for when you make a mistake or just want to experiment with different versions of a page.
Notion is also very generous when it comes to templates. It provides users with a ton of options, whether they’re creating blog posts, articles, event schedules, or product launch plans. Fortunately, all templates are fully customizable so you can modify them to your taste without having to build from scratch. The platform also encourages users to submit their own templates so the library grows to fit a wider range of needs.
Users can create different workspaces for different projects, which is useful if you need to manage multiple projects at once. Every workspace will have its own pages so all your information will remain separate and organized.
Notion allows you to invite other people to your workspace so you can collaborate in real time. The limit of guests you can have at a time depends on the plan you choose.
As a good workspace should, Notion integrates with a wide range of popular productivity tools so you can easily share information across the platforms you use. These tools include Slack, GitHub, Zoom, Trello, Google Drive, and more.
For instance, you can make use of the Google Drive integration to quickly add and share files from your Google Drive directly to your Notion workspace.
Notion AI is a relatively new feature for workspaces. It’s a connected assistant powered by GPT-3 that’s developed to help boost your creativity and write content faster. Essentially, it eliminates the need to jump between your work and a separate AI-powered tool.
The feature can help you generate ideas for blog posts, social media posts, press releases, job descriptions, meeting agendas, and more. You’ll also be able to summarize pieces of content, correct spelling, and grammar, and translate text (English, Spanish, Chinese, and French).
Individuals who are working freelance will benefit from an organizational tool like Notion. It can help with a variety of processes such as:
Small professional teams can benefit from Notion’s features because it ensures that all team members can collaborate on the same tool for multiple purposes. These purposes include:
Students also make great use of Notion because of its impressive note-taking and organizational capabilities. Students can easily organize their notes by class and keep track of all reading and assignments (by the due date) for each class. The best part is Notion can even allow easier collaboration for group projects since the free plan allows sharing with up to 10 guests.
Notion stands out in two major ways; it’s very customizable to support any workflow, and it brings all work together in one shared location.
Unlike many productivity tools, Notion doesn’t just focus on solving one problem, such as organization. The way Notion is designed gives users the freedom to mold their workspace in a way that works best for them. On one hand, individuals can use it to keep their notes, to-do lists, calendars, and journals in one accessible platform. Additionally, professional teams can use it to build collaborative docs, product roadmaps, and wikis for their company.
Notion has four pricing plans: Free, Plus, Business, and Enterprise.
Unfortunately, none of the plans come with Notion AI because it’s an optional add-on. It costs $8/month per member and is billed annually at $96. If you’d rather pay monthly, it’ll set you back $10/per month per member.
Notion should be commended for its simplicity, familiarity, and affordability. If you need a straightforward entry-level solution for creating content and planning and managing projects then Notion is a great choice.
With that being said, large businesses that have complex needs may not see the platform as comprehensive enough to streamline their project management. However, Notion is a tool that keeps evolving and works hard to improve its capabilities to fit businesses of all sizes.

Notion is a fantastic productivity tool that I love. It is incredibly versatile and customizable, allowing me to create a workspace tailored to my needs. One of the things I appreciate the most about Notion is its ability to combine different types of content all in one place, such as notes, tasks, and databases. This makes it easy for me to keep track of everything I need to do and all the information I need to reference. Additionally, Notion's sleek and modern design makes it a pleasure to use, and its collaborative features have been a game-changer for me when working with others. I highly recommend Notion to anyone looking for a powerful and flexible productivity tool.
The undo function is not as reliable as I would like. Although it saves previous versions of my pages, sometimes an unintended delete can cost you lot'`s of time.
Notion is a powerful tool that has helped me manage my time effectively. With all my tasks, calendars, and notes in one place, I can easily stay on top of my work and be more productive. Not only that, but I have also developed a very powerful template for my clients to help them manage their time and stay organized.
Databases oriented, you can create databases that have the same behavior of a programing database. And it has N:N relation, what improove very smart possibilities to the user!
The lack of charts, so you have all that data and you need to get out of Notion to see the data in some sort of integration with Google with sheets charts or Data Studio.
Helps me with content managment in digital marketing, and lauch managment, team managment, students managment, product, project and srategic manegment, and financial and personal managment;
I use Notion for all company employee lists As a CRM As a product roadmap As a public job board As a shared investor updates pages Notion is multi use and a good way to organize all work and notes for teams and personal.
Creating new pages is sometimes a hassle in terms of templates, adding titles to each column and row, wish there was more flexibility when designing and customizing some of the forms.
It is helping structure employee tasks and reviewing to make sure tasks are being completed. We also use it for our investor updates so we can go back to older updates and keep track. It is helping us also as a CRM.
Notion ist the most amazing tool I've ever used. Studying medicine has become so much easier since I've been using Notion do organize my notes. I can't image a life without Notion anymore. It's useful in every possible way - and so much fun as well!
A few times I had problems with one of my pages. I think it was a bug, but I wasn' t able to solve the problem so I had to delete & recreate the page. The Notion support team was still very supportive!
I use Notion mainly to organize my notes and lectures. I am a medical student and being organized is so important when it comes to the huge amount of things you have to learn.
The variety of templates and the easy of modifying them to your needs
Sometimes it can be confusing if the templates are really complex, there's so much to learn and sometimes its overwhelming
Having all of my tasks, marketing, projects, and even personal resources and to-dos in one place!
I like that there are so many templates of pages with an aesthetic and pragmatic way of organising information. Also, it is a good way of keep all my assignments visible and the notes from my classes and projects all in the same space.
I would love to have the possibility to create charts in Notion, since at the moment is only possible via external sources. Moreover, I feel like the users would appreciate more tutorials on how to use the software, as I feel that there are many things that I cannot understand, or do not even know that can be done.
Organisation, keeping me up to date with my deadlines, keeping all my class notes in one place, habit tracking, job applications tracking, reading tracking, etc.
The simplicity of setting up a powerful related database. The integration (e.g. with make.com) means you can get it to automatically email, update other systems, or whatever you dream of. It's FAST. Instantly searchable. It's super configurable. I run my whole business on it and I can't imagine not having it.
Loading large lists sometimes takes a couple of seconds. Also dashboarding isn't very powerful - it needs a couple of features - like being able to summarise data in a dashboard style. It also could use the concept of an actionable 'button' that kicks off a webhook to further make the integrations more powerful.
Automatic emailing of task status, utilising make.com. I'm able to manage several projects at one time very efficiently
It is complex tool to take a control over tasks, ideas and plans.
I appreciate the new function of subtasks, but it would be great to make it more advanced.
It keeps all my tasks, thoughts and plans in one place.
I love how easy it is to house and organize information in Notion. It's a great space to document workflows and procedures, company policies, etc. It's also very user friendly and easy to use.
Nothing that I can think of! It's easy to build documents and workspaces, and also easy to find what I need when I need it.
Notion is one intuitive space where our internal knowledge base lives. It's easy to keep things organized and ensures that our team always has access to documents and procedures when they need it.
The product is so flexible that you can create every types of documentation. It connects databases and pages together so you don't write twice the same thing. This is perfect for a consistent knowledge base.
Too flexible. It's hard to enforce rules of updates and form. You often end up with old pages here and there. Also the search is getting better but the noise makes it useless.
Asynchronous communication and evergreen team documentation.
I love that I can make anything in Notion my own! It's a powerful tool that can be used for ANYTHING! I use it to organize my business ideas, content calendar, and goals. I also use it to organize my life, make to-do lists, and habit tracking!
The beauty of Notion is the ability to personalize everything, which can also feel overwhelming for someone who lacks time and creativity to build beautiful pages. I wish there were more templates. I found the app helpful and easy to access, but it slowed my computer down significantly. I only use the web app now.
Organizing all my business ideas and documents in one place.
I like the way that Notion promotes the organization and formatting of documentation in such a manner that contributes to the actionability/usefulness of the information contained within it.
I'm not too fond of the styling of page mentions (they're often in a gray text color which makes them less bold and doesn't draw the readers' eyes toward them. I'm sure this is preventable or editable in some way, but it hasn't been readily apparent to me. It's a tiny thing, but all which comes to mind.
Notion assists with creating, storing, and indexing a large portion of our company's documentation (i.e., business logic, project management, employee docs, help articles, etc.) . Having this all-in-one, searchable, place is invaluable to saving time while not sacrificing collaboration and access to relevant information.
My friend told me about notion years ago but I didn't listen. It's because I didn't understand What notion was and how it works. But I decided this year that I would take the time to just understand it before I dismissed it. Best decision I could have made. I used to use a million different apps at the same time to stay organized. I'd grab paper and pen, or open Notes app, or send myself a text whenever I needed to record a quick note. Then I'd have to file and sort it all out later. Notion is so much more than a word processor. It is everything I need--whatever I need--in one place. A habit tracker. A note-taker. A personal journal. A place where I make guidesfor students I help mentor. A place where I track college applications. A job tracker. A personalized career dashboard. A vision board. All in one. Many thanks to the notion team for your genius and labor.
There's a few hiccups every now and then. Can't think of anything right now, but I'm really just grateful to have a tool like this available to me for free! What a blessing.
I was all over the place. Too many tools. Too many apps. Too many outlets. Now I just have one centralized tool.
Tracking all of life's notes, projects , deadlines , goals in one place. It's customizable and has many templates. Most serious people use Notion as I have noticed on Twitter.
Well it's definitely a learning curve with Notion. Can seem overwhelming at first. Maybe a non pro mode somehow with less customization. I wish there was more integration with IOS notes, calendar, and reminders.
Well it's unifying all of my work, personal stuff. It's lao making our team Uber efficient and we can communicate better about deadlines , goals , milestones. We all use it every day!
I love the customization of most features. The interactivity with a database is wonderful, and being able to create different views for each section is great. I like the sharing option so I can have a client view the work; however, it would be great if they could add their own opinions or fill in the data on a form and have it save on the backend for my use.
I wish we could create folders for different pages and projects - like if I have a folder called Clients, I want to make another folder for the client name, then another for the type of content or database I'm building.
I needed a platform where I could create living documents and tracking tools. I started using Notion when a real estate coach gave us access to a fantastic template she built. After utilizing and experimenting with other templates, I created several pieces that would benefit many.
I like how customizable Notion is with Project documents and tasks. It helps organize documents in several different locations in one place without moving them.
I think having basic formulas for the tables feature would be beneficial. I like the tables feature, but anytime a value is changed in the table, the user has to adjust other values manually.
Notion solves gathering seemingly unrelated data from several sources into 1 location.
You can build it however you like. The flexibility it offers to create a note taking, personal wiki, planning or information database is not found anywhere else that I have found. Being able to customise the format and layout of my notes is a core requirement for my personal organisation tools, and Notion does this perfectly.
I do a lot of offline work and often find myself out of signal, or with an unreliable connection. Not being able to work offline is the main limitation I have found with Notion.
Organising information, planning work, writing meeting notes and connecting them to projects, creating plans and roadmaps for my team. Notion allows me to do everything I want with my work tasks. Being able to use it in the way I want by setting it up in the way I like means I can use it however I like, which is very beneficial for my work
I like Notion since it allows me to take neat notes. I became more organized because of using Notion every day. What's more why I love Notion is that I can share my notes others and people even my lecturers really like them.
I am a university student, so I attend lessons and take handwriting notes during lectures, leading me to use another app for taking notes. I wanted Notion to allow taking handwritten notes. What I dislike about Notion is that it does not allow handwriting.
Notion saves time, and by using Notion, I can easily and directly access my notes.
What I love most about Notion is how it allows me to create pages for each aspect of my life. I have a page for work, one for personal goals, another for documentation, and even one for habits. The ability to customize each page to fit my specific needs is incredibly useful, and I love that I can easily switch between them with just a click.
I think one of the bigger downsides of notion is that there is no support for custom plugins. Community made plugins would make notion even better and give the development team less of a hard time because lots of stuff is already made for them.
I do some pentesting and notion is a great way for me to document my findings so I can look through them later and find alike problems again. I can make subpages and subpages so there is just infinite room for documentation.
