Notion Review: Is This Project Manager Right For You?

While a relatively new entry into the project management space, Notion has evolved quite quickly to meet the needs of its users. It’s a platform that is notable for its versatility, and it is a well-known option for individuals and teams who want a reliable tool to organize and manage tasks–from note-taking to in-depth project management.

But does it incorporate the best project management techniques to help you or your team get organized?

Let’s find out.

What is Notion?

Notion is a cloud-based workspace where individuals and small teams can take notes, create documents, track projects and organize and manage tasks all in one place. It’s often referred to as an “all-in-one” workspace because users can collate all of their projects onto a single platform.

Notion’s popularity among professionals and students is credited to its personalization that caters to any workflow. As a user, you’ll have the freedom to customize the layout of your workspace, while still getting helpful guidance and templates to help you get started.

Background on Notion

Founded in 2016, Notion started as a note-taking app but has evolved into a comprehensive project management tool for solopreneurs and small teams. The platform’s mission is to make it possible for people to shape the productivity tool they use every day to match their needs.

Notion Homepage

Getting Started with Notion

Every feature on Notion is designed to help users be as organized as possible.

The platform is segmented into pages that can be nested or interlinked at your convenience. As soon as you sign up, you’ll be redirected to your Welcome screen containing some tips to get started. This includes linked videos that guide you in creating your first page and setting up your to-do lists and projects.

Notion Dashboard

On the left side, you’ll find a list of default pages, such as ‘Quick Note’, ‘Personal Home’, and ‘Task List’ which you can customize and add. Whenever you create a new page it will show up on the left panel. You can add personalized header images, descriptive comments, and add associated icons to your pages.

Simply click anywhere on a page to add blocks for individual pieces of content such as text, lists, media, links, and sub-pages. You can also just type “/” to bring up a menu of blocks you can add to your new page. Notion Customized page Notion Customized page

How Notion Works: Key Features

Although Notion started as a note-taking app, it has become far more than that. The tool has promising features that go beyond creating to-do lists and make it a competent productivity and project management app.

Integrated User Guides

A commendable feature of Notion is that user guides are already embedded in the platform. For example, if you want to create a new document, you’ll find guides on how to get the most out of the preinstalled page.

Of course, this can be a hit or miss. Some users may be grateful for the step-by-step guides, while others may be frustrated with manually deleting pre-installed guide pages to clean up their workspace.

Notion User Guides

Customizable Pages & Templates

Notion makes it easy for you to create pages and documents in whatever style you want. Pages are like folders where you can store all information related to a particular topic. You can include a range of blocks or items on your pages such as text, toggle lists, to-do lists, images, video links, tables, boards, and maps.

Every change you make to a page or block is automatically saved in Notion. So you can always go back and view the history of a page if there’s something that you want to restore. This is pretty useful for when you make a mistake or just want to experiment with different versions of a page.

Notion Pages

Notion is also very generous when it comes to templates. It provides users with a ton of options, whether they’re creating blog posts, articles, event schedules, or product launch plans. Fortunately, all templates are fully customizable so you can modify them to your taste without having to build from scratch. The platform also encourages users to submit their own templates so the library grows to fit a wider range of needs.

Notion Templates

Collaborative Workspaces

Users can create different workspaces for different projects, which is useful if you need to manage multiple projects at once. Every workspace will have its own pages so all your information will remain separate and organized.

Notion allows you to invite other people to your workspace so you can collaborate in real time. The limit of guests you can have at a time depends on the plan you choose.

Integrations

As a good workspace should, Notion integrates with a wide range of popular productivity tools so you can easily share information across the platforms you use. These tools include Slack, GitHub, Zoom, Trello, Google Drive, and more.

For instance, you can make use of the Google Drive integration to quickly add and share files from your Google Drive directly to your Notion workspace.

Notion Integrations

Notion AI

Notion AI is a relatively new feature for workspaces. It’s a connected assistant powered by GPT-3 that’s developed to help boost your creativity and write content faster. Essentially, it eliminates the need to jump between your work and a separate AI-powered tool.

The feature can help you generate ideas for blog posts, social media posts, press releases, job descriptions, meeting agendas, and more. You’ll also be able to summarize pieces of content, correct spelling, and grammar, and translate text (English, Spanish, Chinese, and French).

Notion Use Cases

Solopreneurs

Individuals who are working freelance will benefit from an organizational tool like Notion. It can help with a variety of processes such as:

  • Documenting and managing career goals
  • Organizing projects for different clients
  • Managing content creation schedules

Professional teams

Small professional teams can benefit from Notion’s features because it ensures that all team members can collaborate on the same tool for multiple purposes. These purposes include:

  • Planning meetings and recording meeting notes
  • Setting task lists based on priority
  • Drawing up onboarding documentation for recruits
  • Brainstorming internal team goals (digital suggestion box)
  • Organizing a company roster
Notion Meetings Pages

Students

Students also make great use of Notion because of its impressive note-taking and organizational capabilities. Students can easily organize their notes by class and keep track of all reading and assignments (by the due date) for each class. The best part is Notion can even allow easier collaboration for group projects since the free plan allows sharing with up to 10 guests.

Notion Note Taking Screen

What makes Notion stand out from other platforms?

Notion stands out in two major ways; it’s very customizable to support any workflow, and it brings all work together in one shared location.

Unlike many productivity tools, Notion doesn’t just focus on solving one problem, such as organization. The way Notion is designed gives users the freedom to mold their workspace in a way that works best for them. On one hand, individuals can use it to keep their notes, to-do lists, calendars, and journals in one accessible platform. Additionally, professional teams can use it to build collaborative docs, product roadmaps, and wikis for their company.

Notion Pricing

Notion has four pricing plans: Free, Plus, Business, and Enterprise.

  • Personal (Free): The forever-free plan allows users to create unlimited pages and blocks with an allowance of 5MB file uploads. You can also share or collaborate on projects with a maximum of 10 guests, and receive basic page analytics, 7-day page history, and integration with other tools such as Slack or GitHub.
  • Plus ($8/month per user): The Plus plan is geared towards small professional groups. On this plan, you can invite up to 100 guests for collaboration. You’ll also get unlimited file uploads and 30-day page history.
  • Business ($15/month per user): This plan is for companies that use Notion to connect many teams and tools and you can invite up to 250 guests. You also get authentication features (SAML + Single Sign On), private team spaces, bulk PDF export, advanced page analytics, and 90-day page history.
  • Enterprise: This subscription is targeted toward medium to large businesses and offers more advanced capabilities. You will need to contact the Notion sales team to discuss the pricing plan that fits your business’s complex needs. You can request a trial of this specific plan if you’d rather try it before making any significant investment.
Notion Pricing Page

Unfortunately, none of the plans come with Notion AI because it’s an optional add-on. It costs $8/month per member and is billed annually at $96. If you’d rather pay monthly, it’ll set you back $10/per month per member.

Notion AI Page

Notion’s Pros and Cons

Pros

  • The customization features are better than most.
  • A great solution for note-taking and creating to-do lists.
  • You can use Notion to create wiki pages or simple websites with useful information about your business or products.
  • Pricing is affordable for solopreneurs and small teams.
  • The forever-free plan has sufficient features for solopreneurs.
  • The structure of folders allows for shortcuts so you can reach your content from multiple places.
  • Notion’s tutorials are comprehensive for everyone to understand and the support team is responsive and helpful.

Cons

  • Although Notion’s UI is very usable, it can sometimes get cluttered once you start adding multiple projects, which can be overwhelming for newbies.
  • Advanced project management features, such as reporting, time tracking, and Gantt charts are lacking.
  • Managing multiple projects on Notion can become tedious.
  • Security features are lacking, as basic features like two-factor authentication are not available, even for paid plans.
  • Notion AI is billed separately as an add-on.
  • May not be the best option for those looking for project management software for software development.

Is Notion Right For Your Organizational Needs?

Notion should be commended for its simplicity, familiarity, and affordability. If you need a straightforward entry-level solution for creating content and planning and managing projects then Notion is a great choice.

With that being said, large businesses that have complex needs may not see the platform as comprehensive enough to streamline their project management. However, Notion is a tool that keeps evolving and works hard to improve its capabilities to fit businesses of all sizes.

If you want to keep checking other project management software that may suit you better, Findstack has more helpful reviews and insights that you can take a look at. Our goal is to help you find the right tool for your needs.

"So flexible and powerful"
What do you like best about Notion?

Notion is a versatile productivity tool that offers several features, and what I like best about it is its flexibility. The timeline feature helps me keep track of my projects, and the table management feature makes it easy to organize my data. Additionally, the various views, such as calendar and board views, allow me to visualize my tasks in different ways. What's great about Notion is that it can be as easy or advanced to use as needed by its user, depending on their comfort level. It is a perfect tool for personal use, team collaboration, and project management. Overall, Notion is a powerful tool that can simplify your work and help you stay organized.

What do you dislike about Notion?

While Notion offers a lot of useful features, one of the things that I dislike about it is that it can become slow and less responsive at times, particularly when working with larger databases or more complex pages. However, it's worth noting that the Notion support team is usually quick to respond and fix any issues that arise.

What problems is Notion solving and how is that benefiting you?

Notion is a powerful productivity tool that solves several problems, making it an excellent choice for individuals and teams looking to stay organized and productive. One of the biggest problems Notion solves is the issue of scattered information, as it allows users to consolidate all their data into one place, making it easy to access and manage. Notion also offers a wide range of templates and tools, making it an ideal choice for everything from project management to marketing research. As someone who uses Notion regularly, I have found that the benefits it provides are numerous. For example, the ability to organize my work and collaborate with others has helped me be more productive and efficient. Additionally, Notion's marketing research templates have been incredibly useful in helping me organize and analyze data related to market trends and customer behavior. Notion's benefits aren't limited to individual use either; the platform's team collaboration features have been incredibly useful in product launches, helping everyone involved stay on track and aware of the project's progress. Furthermore, the ability to create press releases and share them with the team has streamlined the process of launching new products and features, making it easy to communicate important updates to both internal and external stakeholders. Overall, Notion is a powerful tool that solves several common productivity problems and offers numerous benefits to individuals and teams alike. Its range of templates, tools, and features make it a valuable addition to any workflow, and its emphasis on organization and collaboration makes it an essential tool for anyone looking to stay on top of their work.

"Notion is an amazing, all-in one"
What do you like best about Notion?

I love how customizable it is! It's got its learning curve for sure, but for a small company like ours it acts as a solid all-in one tool for us. We use it for project and task management, brand asset storage, meeting notes, a CRM.

What do you dislike about Notion?

The thing I like about Notion is also the thing I dislike about Notion - the learning curve and amount of time it takes to create databases that all talk to each other. Sometimes I think I've got it down to only realize that one database isn't syncing with another one. This is versus something like Monday.com or Asana which I've used in the past it's not an issue BUT those tools don't do nearly as much as Notion does so I understand.

What problems is Notion solving and how is that benefiting you?

We use to keep all of our departments and projects in one roof. It keeps everyone from Finance to Marketing to Creative on the same page, as well as a central hub for everyone to grab documents from. It's also saved me Google Drive space because I can have meeting notes within Notion and not have to store hundreds of Google Docs

"Notion - A game changer for productivity and organization"
What do you like best about Notion?

My experience with Notion has been nothing short of exceptional. It has revolutionized the way I approach work and personal projects. What I like best about Notion is its versatility. It can be used for anything from taking notes, organizing projects, managing tasks, and even as a database. Its flexibility allows me to tailor it to my specific needs and preferences. The most helpful feature of Notion, in my opinion, is its ability to link databases and pages together, creating a seamless flow of information. The upsides of using Notion are numerous - it's easy to use, visually appealing, and has endless customization options.

What do you dislike about Notion?

I struggle to find any significant downsides to Notion. However, one potential drawback is that it can be overwhelming at first due to the multitude of options and features. It takes some time to learn and fully utilize everything it has to offer. Additionally, the mobile app could use some improvement in terms of functionality and user interface. However, these minor downsides are far outweighed by the benefits of using Notion.

What problems is Notion solving and how is that benefiting you?

Notion can solve a number of problems for users, such as helping to organize and streamline tasks and projects, centralize information in one location, improve collaboration among team members, and provide a more efficient and effective way to manage and access information. This can benefit users by saving time, reducing stress, and increasing productivity, among other advantages. In the case of new vehicle procurement, Notion can be used to track information related to vehicle purchases such as dealer information, pricing, vehicle specifications, and more, providing a centralized and organized way to manage this data.

"Revolutionary for both ideation and tying together my work & personal lives"
What do you like best about Notion?

It has a clean, easy-to-navigate interface. I find it quite easy to use, and they put a lot of work into making it a felicitous UX to work within. This is my second time using Notion, and the reason I came back was because of the rapid delivery of new & useful features in the past year. Jira database integration is super-helpful for creating a single-pane-of-glass view, I love the different embeds they support, and the ability to define database sub-tasks has so much potential for replacing some of other tools.

What do you dislike about Notion?

It's not immediately-accessible to non-productivity nerds like myself. It took me awhile to wrangle the sheer amount of information that can end up within Notion (from personally-composed pages to imported content), and I would imagine that power users unlike myself might be intimidated by that.

What problems is Notion solving and how is that benefiting you?

Notion helps with the problem of repeatable content: I can define information on one page, and either backlink to that page — or better yet, embed that page in other pages, for seamless sharing of knowledge! And if the source snippet requires a change, editing it at the source applies to everywhere it's referenced. Confluence can't easily do that!

Notion is very flexible. Once you know about the main features you can reproduce any basic business tool / process : Ticketing, calendar, CRM.

"The product you NEED to organize (literally) everything"
What do you like best about Notion?

I absolutely love how it uses databases to organize items. What this means (for you new users out there) that you can organize all of your notes (personal or business), your tasks (to dos, project tasks), and any other information in an easily accessible way! I am currently using Notion as a second brain. Literally as a SECOND brain. It's my idea dump, my project manager, my to do list manager, my personal wiki. Everything that I think of or need to put on 'paper' gets put into Notion. Honestly switching from Evernote was the best thing I could have done for my personal and business productivity.

What do you dislike about Notion?

At first, Notion can SEEM overwhelming. And in my experience, I felt there were to many features to consider and quite honestly, I didn't really know where to start. But let me say... don't let this hold you back. Keep playing with it and you'll pick it up in less than a day. If you need a starting point, just use it as a simple note taker! Then explore it's various features slowly over time. You really can't go wrong taking this approach — as you can always go back to implement any functionality that you need later.

What problems is Notion solving and how is that benefiting you?

I would say that the biggest problem Notion has solved for me, is allow me to CONSOLIDATE all of my tasks and notes and ideas into one place. Before Notion, I had to use 5-6 different applications to organize these things. And the worst part was that these apps did NOT integrate or communicate with each other. Notion allows you to link pages, so that you have one cohesive system. It makes my life so much easier. ... oh and I should mention that if you're a content creator / writer — they just introduced an AI writer to cut your creative process in half! And absolute game-changer.

"Notion Review"
What do you like best about Notion?

I feel that Notion has everything I need to take notes. It allows me to highlight and bold what I need and insert tables. Moreover, I can export it to a pdf or some other format if I need to.

What do you dislike about Notion?

I feel that there is one downside to using Notions, and it is that it is kind of slow sometimes. However, I still think the benefits outweigh the fact that it is slow.

What problems is Notion solving and how is that benefiting you?

Notion helps me effectively take notes. It is quicker and more organized than writing on paper. Moreover, it has helped me improve my grade. When it is time for a quiz or test, I open Notion and see all my organized notes.

"Perfect second brain for teams!"
What do you like best about Notion?

- Very easy to use, markdown really helps! - Features like nested pages, integrated databases are awesome. - Being connected online and syncing everything makes sure no idea is lost in the process. - The fact that every team member can comment or add to the pages, from their own profiles, makes collaborative works much easier. - Publishing pages publicly feature is also helpful.

What do you dislike about Notion?

- Since it's syncing online, working offline isn't possible. - Sometimes things slow down a bit, because of the constant online sync. - Mobile UI is not that great.

What problems is Notion solving and how is that benefiting you?

- Common and collaborative note taking - Detailed project management - Internal record keeping - Making public draft pages for quick sharing and updates

What do you like best about Notion?

Notion is an endless space for ideas, people, projects, and everything in between. Making independent decisions regarding the content of every page and database allows me to keep up and share and create a better team, delegating and pushing others to gain ownership of their responsibilities.

What do you dislike about Notion?

Being too flexible and offering every single way to manage your info could be a curse. Still, it pushes me always to be one step ahead and to design every detail of our everyday Notion life.

What problems is Notion solving and how is that benefiting you?

Visibility and collaboration in every way. Before, every decision was based on assumptions, past experiences, or maybe even guessing. With Notion, I have accurate data, tracking and real-time visibility of every detail in every direction.

What do you like best about Notion?

Versatility and customization! Notion allows users to create and organize different types of content, including notes, to-do lists, calendars, project boards, databases, wikis, and more. Its drag-and-drop interface and block-based system make it easy to create and edit content on the fly, without having to switch between different apps or tools.

What do you dislike about Notion?

The learning curve can be steep. There are so many features and options that it can be overwhelming for new users. Additionally, the mobile app is not as robust as the web app, which can be a drawback for those who work on the go.

What do you dislike about Notion?

I send a report to shareholders every month. I use notion to do that in a way that´s structured and consistent. It also helps for accountability to keep all pervious reports in the same plece.

What do you like best about Notion?

it is so powerful and versatile. I've been organizing my whole life with it for 3 years now and the more I learn how to use it, the more I understand its power. Another important aspect is that they continue to improve it day after day by introducing new things, and their assistance is excellent.

What do you dislike about Notion?

It is slightly difficult to understand and use at first, has a slightly steep learning curve. But like all things of this type, once you learn the necessary you have a very powerful tool in hand

What problems is Notion solving and how is that benefiting you?

It really solves a lot for me. Just with a tool like databases, which allows me to store, catalog and display data in many different ways. Also in the management of university courses it allows you to have a clear and orderly vision of everything
